Why Alchemy?

Most information exists as unstructured data.  This unstructured data often contains critical information that must be secured, shared and retained.  Retaining Correspondence, faxes, emails, invoices, statements, applications, employee files, etc… is essential for compliance and efficiency.

Alchemy databases are built to accommodate any type of document, whether those documents are PDF files, CAD drawing, scanned images, faxes, media files, word, or excel documents, Alchemy will retrieve them in seconds.  The software sits on the Windows file system and provides a very similar look and feel.  The databases can be stored locally, on a network, or even on the internet.  Other great features of the software include Audit logging, Role-based Access Control and File Encryption for organizations that have security issues or who must comply with HIPAA or SOX regulations.

Alchemy products

1. Alchemy Content Management Servers

  •  Alchemy Standard Server – This server is the basis for fixed content management applications like document imaging.  This server allows for multi-user database management and integrated windows security.
  • Alchemy Advanced Server – This server license is the basis for applications that require document management and compliance.  This server license includes one Audit Logging and Role-based Access Control and standard server functionality.
  • Main Difference – The main difference between each server license is in the security and logging features.  The advanced server enables the client to designate user groups, assign user rights, and limit functionality to particular users.  The Audit logging features allow you track which users do what with each document under that server’s control.  You can track items like who opened, retrieved, viewed, emailed, printed and just about anything else a user can do.  If you have to deal with compliance issues or HIPAA or SOX regulations the advanced server is for you. 

 

2. Alchemy Server Options

  • Alchemy Web - This server application add on allows Alchemy repositories to be published to Web.  This module is not a stand alone application, a standard or advanced server license and Search client licenses are required.
  • Alchemy Records Manager – This add on server application allows record managers to create and manage file plans and retention schedules for content stored in an Alchemy repository as well as physical files and files stored on Windows file systems.  Alchemy advanced server is required. 

 

3.     Alchemy Clients – There are two types of client modules one being the Alchemy Search Client and the other is the Alchemy Index Station.  These clients are sold per seat.  

  • Content Contributors – The Index Station allows users to add, annotate, index and view documents. 
  • Content Consumers –The Alchemy Search Client provides read-only access to Alchemy databases located on a Local Area Network or Wide Area Network.  There are two types of Search Clients the first being a Windows desktop client and the other is an Internet Explorer client to view documents via the Web.  An Alchemy Web Server is required for the second. 

 

4.  Alchemy Input Modules

  • Alchemy Scan – Captures paper documents.  Includes OCR and barcode recognition.
  • DataGrabber Runtime – Allows for the creation of predefined definition files to pull files into an Alchemy database.
  • Exchange Archive Link for Alchemy – Capture emails from one or more Exchange servers.

5. Classic Standalone Solutions – This simple solution is ideal for small offices where one person handles the input and database management tasks.  This solution can be combined with Alchemy Scan and DataGrabber modules.
